Acumatica ERP to Xero

Migration from Acumatica to Xero without losing a balance.

A reconciliation-led migration for businesses moving off a full ERP — scoped by an accounting team, not just a data importer, so the numbers tie out before Acumatica is switched off.

Direct answer

Can Acumatica be migrated to Xero?

Yes. Acumatica’s ledgers, transactions and balances can be extracted, mapped and migrated into Xero, but the two platforms are built for different purposes. Acumatica is a full ERP; Xero is a focused accounting platform. A successful migration means deciding what genuinely needs to move, not converting every module by default.

eCloud Experts starts by agreeing the target design, the branches or subsidiaries in scope, the conversion period and the current Acumatica deployment — Acumatica Cloud, private cloud or on-premises all export differently. We then transform the source data into Xero-compatible records and reconcile the agreed control totals, documenting any item that cannot be represented exactly in Xero.

A Migration, not a like-for-like swap

Acumatica may include manufacturing, distribution, field service, CRM and bespoke Generic Inquiries with no direct Xero equivalent. We help decide what moves into Xero, what is replaced by a connected app, and what is archived for reference in a read-only copy of Acumatica.

Why now

Why organisations move off Acumatica

Businesses rarely leave Acumatica because the platform has failed them. The trigger is almost always a change in how big or how complex the business needs its finance system to be.

Business Divestiture and Carve-Out Migration

When a subsidiary or division is sold or separated from a group, it typically loses access to the parent’s Acumatica tenant and needs its own lean, standalone accounting system quickly.

Right-sizing after simplifying operations

Businesses that have exited manufacturing, distribution or field-service activity often find they are paying for and maintaining ERP functionality they no longer use.

Licensing and cost-of-ownership review

Acumatica’s resource-based licensing rewards growth and heavy usage. A smaller or steadier entity may find a Xero subscription plus targeted apps more cost-effective to run.

Standardising the group on one platform

Finance teams consolidating several systems sometimes move an Acumatica-run entity onto Xero to match sister companies and simplify group reporting and IT support.

Migration suitability

Who should move from Acumatica to Xero?

The right question is not whether Acumatica data can be imported into Xero — it usually can. It is whether Xero, together with any necessary connected applications, can support the operating model the business actually needs going forward.

Acumatica versus Xero

Where Xero can be the better fit after Migration

Xero rarely out-features Acumatica on raw functionality. The advantage shows up in cost, simplicity and everyday collaboration once ERP-level scope is no longer required.

Business need
Why Xero can be a better fit
What to assess before switching
Licensing and cost model
Acumatica is priced on system resources and transaction volume with unlimited users; Xero is priced per organisation on a monthly plan. For a smaller, standalone entity this can reduce cost.
Compare a realistic Xero plan and connected-app costs against current Acumatica licensing before assuming savings.
Deployment and IT overhead
Acumatica can run in Acumatica Cloud, a private cloud or fully on-premises; Xero is a single multi-tenant SaaS product with no infrastructure to manage.
Confirm who currently owns Acumatica hosting, backups and upgrades, and whether that responsibility genuinely transfers.
Scope of functionality
Acumatica is a full ERP covering financials, distribution, manufacturing, projects, CRM and field service; Xero focuses on core financial accounting.
List which Acumatica modules are actually used day to day versus available but idle.
Multi-entity structure
Acumatica branches sit inside one tenant; Xero uses one file per organisation, which suits businesses that no longer need centralised multi-branch consolidation.
Review consolidated reporting needs and whether a connected tool must replace native branch consolidation.
Customisation and reporting
Acumatica's Generic Inquiries and customisation framework support bespoke workflows; Xero relies on standard reports, tracking categories and its API and app ecosystem.
Identify business-critical Generic Inquiries and customisations that need a replacement before cut-over.
Everyday collaboration
Xero's simpler interface and mobile apps can suit smaller finance teams and external bookkeepers who do not need ERP-level access.
Confirm which users still need project, inventory or CRM functionality that Xero does not natively provide.
Bank reconciliation and apps
Supported bank feeds and a broad app marketplace can streamline everyday bookkeeping once ERP-level workflow automation is no longer required.
Bank-feed coverage varies by institution and region; confirm before relying on it for cut-over.
Digital tax workflows
In the UK, Xero supports Making Tax Digital workflows, including VAT submissions, when the organisation is correctly configured.
Tax treatment and filing responsibility should be reviewed for each entity during implementation.

Feature references checked against Xero UK accounting software information. Final capability depends on plan, region, bank and connected applications.

Migration scope

What transfers from Acumatica to Xero

Final scope depends on the quality and availability of source data, which Acumatica modules are actively used, and the reporting outcome the business needs after cut-over.

Data area
Typical migration treatment
Key control
Chart of accounts & subaccounts
Retain, consolidate or redesign the account and subaccount structure for Xero's flatter model.
Account and subaccount mapping approved before import.
Branches & subsidiaries
Map each Acumatica branch or subsidiary to its own Xero organisation.
Branch-to-organisation mapping and intercompany treatment agreed.
Customers & vendors
Clean and migrate contact records, balances and payment terms.
Duplicates and inactive records reviewed before load.
Sales & purchase transactions
Invoices, bills, credit notes, receipts, payments and retainage for the agreed period.
AR and AP ageing, including held retainage, reconciled at conversion date.
Bank & cash accounts
Historical transactions and balances, followed by an agreed live-feed cut-over.
Statements, ledger balances and outstanding items reviewed.
Manual journals & allocations
Transform journals into supported Xero entries with correct dates and narratives.
Trial balance and journal totals compared.
Multicurrency & intercompany
Preserve transaction currency and agreed exchange-rate treatment; intercompany balances reviewed separately.
Base and foreign-currency balances checked per entity.
Projects, WIP & committed costs
Migrate agreed opening project positions, cost-to-date and committed costs.
Project totals reconciled to the general ledger.
Inventory & fixed assets
Migrate opening inventory valuations and fixed-asset register position.
Quantity, cost and carrying value reconciled.
Generic Inquiries, attachments & payroll
Rebuild critical GI reports as Xero reports where feasible; migrate attachments and payroll as separately scoped items.
Report equivalence, file counts and payroll control totals recorded.

Complex migrations

Multi-branch, project accounting and customisations

Multi-branch & multi-subsidiary consolidation

Each Acumatica branch or subsidiary is assessed and normally becomes a separate Xero organisation. We align account mapping and reporting design while preserving each entity’s distinct books. Intercompany balances and consolidation needs are reviewed separately and may require a connected consolidation tool.

Project accounting, WIP & retainage

Committed costs, cost-to-complete positions and retainage held on active jobs are agreed as opening data at the conversion date. Ongoing project tracking, AIA-style billing and job costing then move to Xero Projects or a suitable connected application, with the closing Acumatica position reconciled first.

Customisations, business events & integrations

Custom fields, business events, automation schedules and Generic Inquiry reports built in Acumatica’s low-code framework do not transfer directly. Each is reviewed to decide whether it becomes a Xero report or tracking category, a connected app, or an archived reference in a retained read-only copy of Acumatica.

Risk management

How we protect accounting integrity

Common problems we prevent

Acumatica-to-Xero migrations can go wrong when retainage or held amounts are left unreconciled, WIP schedules do not agree with the migrated general ledger, branch eliminations are handled inconsistently, business-critical Generic Inquiries are lost without a replacement, or cut-over transactions are duplicated across branches.

Our process makes these areas visible before handover. A matching closing trial balance is essential, but it is not the only test: project positions, subsidiary ledgers, outstanding items and everyday usability also matter.

Important: the final control pack depends on the agreed scope and the reports available from Acumatica. Any unresolved source-data issue is documented rather than silently forced into Xero.

Choose the right depth

Full history, comparative history or opening balances

Full transactional history

Best when users need detailed prior-period records in Xero and want to reduce reliance on Acumatica after cut-over. This requires the most transformation, testing and reconciliation.

Comparative history

A defined number of prior periods is migrated to support comparisons and management reporting without transferring the entire archive.

Opening balances

Suitable for a clean start when Acumatica remains accessible as the historical archive. Open receivables, payables, retainage, project positions and ledger balances are established at the agreed date.

The correct option depends on audit access, reporting requirements, Acumatica retention costs, transaction volume, budget and timetable.

Frequently asked questions

Acumatica to Xero migration FAQs

Yes. Acumatica's general ledger, subaccounts, customers, vendors, transactions and balances can be extracted, transformed and imported into Xero once the target design, conversion period and data types are agreed. The migration involves accounting decisions about which functionality is represented in Xero, replaced by a connected application, or retained only as historical reference.

The move is usually driven by a change in the business's shape rather than dissatisfaction with Acumatica. Common triggers include a subsidiary being separated from a group's Acumatica tenant, simplifying after selling a manufacturing or distribution unit, or reviewing total cost of ownership once advanced ERP functionality is no longer required.

Yes. Each branch or subsidiary within a single Acumatica tenant is assessed individually and normally mapped to a separate Xero organisation. Intercompany balances, shared account structures and consolidation requirements are reviewed during discovery.

Committed costs, work-in-progress schedules and retainage do not have a direct equivalent in core Xero. Closing project positions are typically migrated as agreed opening data, with ongoing tracking handled through Xero Projects or a connected application.

These are specific to Acumatica's low-code framework and cannot be imported into Xero directly. Each is reviewed to decide whether it becomes a Xero report or tracking category, a connected app, or an archived reference.

Xero's native inventory suits straightforward stock tracking rather than manufacturing or bill-of-materials functionality. We typically migrate opening inventory valuations and recommend a connected application for detailed operational tracking.

Not directly. Xero and its connected app ecosystem support core financial accounting, AP/AR, bank reconciliation and reporting. Manufacturing, field service and bespoke automation are replaced by specific apps or are no longer required.

Validation normally includes comparative trial balances, AR/AP control totals including retainage, bank and cash balances, project cost-to-date figures where in scope, and an exception log.

Timing depends on the number of branches, transaction volume, history required, project-accounting complexity and how quickly decisions are confirmed. Most projects run from a few working weeks to a few months.

Partly, depending on country, current payroll setup, employee records and the selected Xero plan. Payroll is scoped as a separate workstream.

A discovery call plus read-only or reporting access to Acumatica, sample exports or Generic Inquiry outputs, branch details, transaction volumes, project complexity, the required historical period and go-live date.

Yes. Training is tailored to teams moving from a full ERP to Xero and covers everyday processing, reconciliation, payables, receivables, reporting and the connected apps chosen to replace specific Acumatica functionality.
