Scope

Step One: Work Out What Xero Actually Needs

Not every business needs to drag its entire accounting history into a new system, and we’d rather have that conversation before we start moving data than after. There are three routes we typically scope projects around :

01

Full historical migration

The right call when your team regularly pulls up older transactions , year-on-year comparisons, audit trails, long-running customer relationships. This route can include detailed historical transactions for whichever periods you need in Xero.

Best fit: businesses that want substantial history available directly inside Xero, not archived elsewhere.

02

Comparative migration

Enough recent history to support meaningful reporting and period comparisons, without rebuilding every year Kashoo ever held.

Best fit: businesses that need context, not a complete archive.

03

Opening balance migration

Kashoo records stay where they are, and Xero starts clean from an agreed financial position ,  your opening balances, reconciled and ready.

Best fit: businesses that want a fresh start without recreating transaction history nobody looks at.

The right route depends on how your team actually uses historical data,  not on how much data happens to be sitting in Kashoo. If you’re not sure yet, that’s a normal starting point. We help define the scope before any work begins.

Data map

What Actually Moves From Kashoo to Xero

Every piece of Kashoo data needs somewhere to go in Xero, and a clear reason for going there. A typical Kashoo data migration covers the following, depending on what’s in scope:

Kashoo Data
What We Do With It
Xero Destination
Chart of accounts
Review and map
Chart of accounts
Customers
Clean and prepare
Contacts
Suppliers
Clean and prepare
Contacts
Sales transactions
Migrate agreed periods
Sales records
Purchase transactions
Migrate agreed periods
Purchase records
Payments
Match and prepare
Payments
Bank information
Establish agreed position
Bank accounts
Customer balances
Verify
Accounts receivable
Supplier balances
Verify
Accounts payable
Closing balances
Reconcile
Conversion balances

Not every record needs to arrive in Xero in exactly the shape it left Kashoo. The point of the migration is to preserve what the numbers mean, not to replicate the old file structure for its own sake.

Chart of accounts

Don't Rebuild Kashoo Inside Xero

Your existing chart of accounts has probably absorbed years of ad hoc decisions — some still useful, some duplicated, some far too granular for anyone to actually read a report from. Moving to Xero is a natural point to sort that out, rather than recreating it out of habit.

Keep

Accounts that still earn their place in your reporting.

Merge

Accounts split for reasons that no longer apply.

Remap

Information that belongs somewhere else in the Xero structure.

Create

Accounts the business needs now but didn't when Kashoo was set up.

Leave behind

Structure that existed in Kashoo for historical reasons only.

The goal isn’t a smaller chart of accounts for its own sake. It’s one that actually supports the reporting your business runs on.

Handover point

The Conversion Date Is Where One System Hands Off to the Other

Your conversion date is the line between historical Kashoo accounting and everyday work in Xero, which makes the opening financial position the single most important output of the whole project.

Before

Kashoo

Checkpoint Conversion Position

After

Xero

Put simply: Xero should start from the financial position your records genuinely support — not from an approximation of one.

Migration reconciliation

A Clean Import Isn't the Same as a Correct Migration

Data can land in Xero and still produce the wrong accounting result. That gap is exactly why reconciliation is a distinct stage of our process, not an afterthought. After the agreed financial data migration, we check the following against the source information used for conversion:

Do the agreed account balances match the expected position?

Does the migrated bank position agree with the records used for conversion?

Do outstanding customer balances support the agreed position?

Do supplier balances agree with the expected position?

Do relevant tax control balances support the conversion?

Does Xero begin exactly where it’s meant to?

Where something doesn’t agree, it’s logged as an exception and investigated. We won’t post an unsupported adjustment purely to make two reports match on paper,  that defeats the purpose of the whole exercise.

Data condition

If Your Kashoo Data Is Already Messy, Say So

Switching software doesn’t erase accounting problems, it just brings them into a system where they’re harder to ignore.

Can it move?

A technical question — whether the data can be extracted, matched and transferred into Xero at all.

Should it move?

An accounting question — whether the record is still accurate, relevant and worth carrying forward.

We separate these two questions early on. Where cleanup is part of the agreed scope, we handle it as part of the project. Where something needs closer investigation than a migration allows, we flag it clearly rather than quietly carrying it into your new Xero organisation.

Process

How We Run a Kashoo to Xero Migration

01

Define

We agree the migration period, conversion date, historical depth and Xero requirements.

02

Review

We inspect the available Kashoo accounting data and flag anything that needs attention.

03

Design

We work out how accounts, contacts, balances and other records should sit inside Xero.

04

Migrate

We prepare and move the agreed accounting information.

05

Reconcile

We check key financial positions against the agreed source records.

06

Handover

We confirm the conversion point and prepare the organisation for normal use.

Historical depth

How Much History Should Actually Move?

Historical depth is usually the single biggest factor in project size, so it’s worth thinking through properly rather than defaulting to “everything.”

Migrate more when…
Migrate less when…

Deeper historical data migration is a real option where it’s genuinely useful, but we agree this before the main migration begins. It’s the single decision most likely to change your price and timeline.

Beyond migration

Moving the Data Is Only Half the Job

Your new Xero organisation still has to support day-to-day accounting once Kashoo is switched off. Depending on what you need, the project can extend into:

Xero setup

Configuring the organisation around your actual requirements.

Chart of accounts

A structure built for useful reporting, not just habit.

Bank setup

Bank feeds and reconciliation ready to go from day one.

Reporting

Built around what management actually looks at.

Tracking

Xero tracking categories where an extra reporting dimension is genuinely needed.

App connections

Reviewing which of your other systems need to talk to Xero.

Xero training

Practical, role-specific training for your team.

Post migration support

Help while new processes bed in.

What Actually Drives Price and Timeline

Two businesses can both ask us to migrate Kashoo to Xero and end up with genuinely different projects. Six factors usually explain the difference:

Who we help

Why eCloud Experts

You can find someone to import CSV files. That’s not the difficult part. The value lies in deciding what belongs in Xero, what should stay historical, how far back the migration should go, how the accounting structure should change and how the finished balances will be proved.

That’s the work we focus on.
