Why businesses migrate from Sage 300 to Xero

Most finance teams we speak to decide to migrate Sage 300 to Xero for four reasons: licence and maintenance cost, on-premise servers reaching end of life, a slow manual month-end, and poor remote access for a distributed team.

A Sage 300 to Xero migration replaces that with live bank feeds, real-time reporting, unlimited users, automated reconciliation and an app ecosystem you can extend as you grow — at a fraction of the total cost of running Sage 300 on your own infrastructure.

What moves in a Sage 300 to Xero data migration — module by module

Segmented account codes collapsing into an unusable chart of accounts.

A code like 4000-10-200-EU carries account, division, department and region in one string. Flattened naively, a Sage 300 to Xero migration produces thousands of accounts and a P&L nobody can read. We separate the natural account from the dimensions, design a clean Xero chart of accounts, push the dimensions into tracking categories, and rebuild your management pack.

Optional Fields disappearing silently.

These are the most commonly missed part of any Sage Accpac to Xero migration because they have no Xero equivalent. Each one is mapped or consciously retired — never dropped without written sign-off.

Sub-ledger control accounts that don’t tie.

The classic failure is a trial balance that balances overall while aged AR and AP disagree with their control accounts. We reconcile at sub-ledger level before anyone logs in.

Multi-currency history that can’t be reproduced exactly.

Sage 300 holds source and functional amounts and revalues on your schedule. Xero uses its own feed. We agree an FX policy at scoping, journal prior-period revaluation across with documentation, and disclose the variance rather than burying it.

Batch posting and provisional entries.

Sage 300 lets you hold, provisionally post and reverse; Xero posts immediately and controls periods with lock dates. Open batches must be resolved before extraction, and your close process needs rewriting — we run that session as part of training.

A cutover with no parallel run.

On a Sage 300-sized ledger, going live over one weekend with no validation window is how errors reach the statutory accounts. We reconcile both systems for the same period before setting Sage 300 read-only.

How much Sage 300 history should you migrate to Xero?

More history is not automatically better. Each extra year adds cost, extends reconciliation, and increases the risk of carrying old errors into a clean system. Three options:
Opening balances only
Trial balance at cutover plus open AR and AP. The fastest and cheapest Sage 300 to Xero conversion, suited to a clean year-end cutover with Sage 300 kept read-only.
Two to three years of full detail
What most Sage 300 clients choose. Enough for comparatives, trend reporting and audit questions without a decade of noise.
Up to 12 years of full detail
For a complete mirror in Xero, typically ahead of a sale or due diligence, or when the Sage 300 licence is being retired entirely.

Sage 300 to Xero migration timeline and cutover planning

Year-end cutover

Cleanest: no part-year comparatives, no split VAT return, and opening balances that tie to signed statutory accounts.

Mid-year cutover

Works well and is often the right call when licence renewal or server end-of-life is driving the timeline. It needs extra care around comparatives, the tax-return split and payroll year-to-date figures.

Avoid

Cutting over during audit fieldwork, in your busiest trading month, or the same week as a VAT deadline.

Typical timeline:

2–4 weeks from signed scope to go-live for a single-entity Sage 300 to Xero migration with two to three years of history. Multi-entity groups, heavy inventory or 10+ years of detail take 4–8 weeks. Sage 300 to Xero migration FAQs

For service-led, project-based, property, charity and light-distribution businesses, yes — Xero plus two or three specialist apps typically covers everything Sage 300 was doing at lower total cost. Where Sage 300 runs multi-warehouse inventory, lot and serial tracking, assemblies or MRP, Xero's native functionality will not cover it. We assess this on the first call.
Up to 12 years of full transactional detail. Most clients choose two to three years plus opening balances, because deeper history adds cost for data teams rarely consult.
The natural account becomes the Xero account and the segments become tracking categories. Xero supports two tracking categories, so with three or more segments we prioritise the two that drive your reporting and rebuild the rest in Fathom or Joiin.
Each is mapped to the closest Xero mechanism — tracking category, contact group, invoice reference or an add-on custom field — or retired with your sign-off. This is a scoping decision, not a technical step.
Xero handles simple tracked and untracked items only. If you rely on Sage 300 Inventory Control for landed cost, multi-warehouse, lot or serial tracking, or assemblies, we scope Unleashed, Cin7 Core or Katana alongside the migration.
One Xero organisation per legal entity, with consolidated group reporting through Joiin, G-Accon or Fathom. Multi-entity groups are among our most common Sage 300 to Xero migration projects.
Balances, transactions and closing positions transfer accurately. Historical unrealised gains and losses will not match to the penny, because Xero revalues on its own rate feed. The treatment is agreed at scoping and any variance is disclosed in the reconciliation pack.
