The team clearly has strong Xero migration experience and was responsive whenever we had questions. I would highly recommend eCloud Experts to any business moving to Xero.

I contacted eCloud Experts because I needed help with crypto accounting and tax matters and wanted an accountant who actually understood cryptocurrency transactions. They were knowledgeable, patient and explained everything clearly. They helped organise the records and made a complicated situation much easier to manage. Highly recommended for anyone needing specialist crypto accounting support.

Brilliant service. Zakir helped me with compiling and submitting a crypto tax return that I was struggling to do myself. There were many transactions across various activities which can be a bit overwhelming from an accounting perspective. Zakir was able to make sense of everything and submit to HMRC on my behalf, all for a reasonable price. If I need help in the future with another return, I will be coming back to eCloud.

We are a small charity and a limited company by guarantee so it was really important for us to get the right accountancy software. It was recommended for us to use Xero. The Xero software training we had on Friday 4th November went really well and we would highly recommend it, and it helped to empower our understanding of all the features on Xero. The trainer is also very patient and he helps you by working at your pace. It’s a great software to start to process your accounts and it also saves loads of time. This will get you on the right track with the help of financial reports and many other great reports if you need them. Thank you again for all your time. Can Access Financials Be Migrated to Xero?

Yes. Access Financials’ chart of accounts, entities, cost centres, contacts, transactions and balances can be extracted, mapped and migrated into Xero once a target design and conversion date are agreed.

Access Financials is a genuinely capable cloud platform — multi-entity consolidation, budgeting, workflow approvals and real-time dashboards through Access Analytics. None of that makes the migration harder in a technical sense; it makes the scoping conversation more important, because Xero was never built to replace enterprise-grade FP&A functionality feature for feature.

Once scope is agreed, a clean migration looks fairly ordinary: entity balances land in the right Xero organisations, cost centres and dimensions become tracking categories or a documented alternative, and outstanding sales and purchase items match your existing ageing reports at the conversion date.

Simplifying, not downgrading

Businesses that migrate off Access Financials have usually already decided they don’t need enterprise-grade consolidation or FP&A depth any more. We help confirm that’s genuinely true before we start, not after.

What Happens to Your Dashboards and FP&A Data

Access Analytics is one of the platform’s real strengths — live, configurable dashboards across budgets, cashflow, multi-entity P&L and approvals. Xero’s reporting is deliberately simpler, so each dashboard needs an honest answer, not an assumption.
What it does in Access Financials Typical use Common Xero destination
Real-time dashboards
Live KPI and trend monitoring across the business Xero’s standard reports, or a connected BI/reporting app for anything more visual
Budgeting & forecasting
Rolling budgets, variance analysis, scenario planning Xero’s native budgets for simple cases, or a connected FP&A app for ongoing modelling
Multi-entity P&L
Consolidated profit and loss across group entities Separate Xero organisations per entity, plus a connected consolidation tool if still needed
Workflow approvals
Configurable sign-off chains for spend and journals Xero user roles, or a connected bills-approval app for more complex chains
None of this is a like-for-like swap. It’s a genuine decision, made with your finance team, about which reporting habits are worth preserving and which ones existed because the platform made them easy.

Why Businesses Choose to Switch from Access Financials to Xero

Access Financials customers rarely leave because the platform underperformed. The trigger is almost always a change in how much enterprise-grade depth the business still needs.

Divestiture or carve-out

A subsidiary separated from a group that consolidates through Access Financials typically loses access and needs its own lean, standalone Xero file.

Overprovisioned for current needs

Some businesses adopted Access Financials ahead of complexity that didn't materialise, and are now paying for FP&A depth they don't use.

Licensing & cost review

Enterprise-grade multi-entity platforms are priced for that capability. A smaller or steadier entity may find Xero plus targeted apps more cost-effective.

Standardising the group on Xero

Finance teams consolidating several systems sometimes move an Access Financials entity onto Xero to match sister companies and simplify group support.

Is Your Business Ready to Migrate Access Financials to Xero?

The right question isn’t whether Access Financials data can be imported into Xero — it usually can, cleanly. It’s whether the business genuinely still needs multi-entity consolidation and FP&A-grade reporting, or whether that need has already passed.

Good signs

Needs deeper assessment

If the right-hand list still describes daily reality, Access Financials likely remains the better fit. Discovery is free, and if that’s what we find, we’ll say so.

Access Financials vs Xero: Where Xero Can Be the Better Fit

Xero doesn’t out-feature Access Financials on FP&A or consolidation depth. The advantage shows up in cost, simplicity and ecosystem once that depth is no longer the priority.
Business needWhy Xero fits betterWhat to check before switching
Multi-entity consolidationAccess Financials consolidates entities in real time; Xero uses one file per organisation with no native consolidation.Confirm whether a connected consolidation tool is needed afterwards.
Budgeting & FP&ANative budgeting and forecasting in Access Financials versus Xero’s simpler budgets or a connected FP&A app.Confirm which budgeting depth the business still needs.
Dashboards & analyticsAccess Analytics gives highly configurable real-time dashboards; Xero’s reporting is simpler, extended through apps.List which dashboards are genuinely business-critical today.
Workflow & approvalsConfigurable approval chains in Access Financials versus Xero user roles or a connected app.Map current approval rules to Xero roles or an app.
Analysis dimensionsSeveral dimensions per transaction in Access Financials; Xero supports two active tracking categories.Identify which two dimensions are genuinely business-critical.
Ecosystem & accountant networkA much larger global accountant and bookkeeper network, plus a wider app marketplace.Check whether your accountant already works in Xero day to day.
Licensing & costEnterprise-grade, multi-entity pricing versus Xero’s per-organisation subscription.Compare realistic Xero-plus-app costs against current licensing.
Everyday usabilityA simpler interface suits smaller finance teams and bookkeepers without enterprise FP&A training.Confirm which users still need FP&A-level access.

Feature references checked against Xero UK accounting software information. Final capability depends on plan, region and connected applications.

What's Included in an Access Financials to Xero Data Migration

Final scope depends on how many entities are involved, how much FP&A functionality is actually in use, and how much history needs to travel with you.
Data area Typical treatment Key control
Chart of accounts
Retained, consolidated or redesigned for Xero’s structure.
Account mapping signed off before import.
Entities
Each Access Financials entity becomes its own Xero organisation.
Entity-to-organisation mapping agreed in writing.
Cost centres & dimensions
Mapped to Xero tracking categories, contact groups or a connected app.
Dimension-mapping register signed off by finance.
👥 Customers & suppliers
Contact records, balances and payment terms cleaned and migrated.
Duplicate and inactive records reviewed before load.
Sales & purchase transactions
Invoices, bills, credit notes and payments for the agreed period.
AR and AP ageing reconciled at the conversion date.
🏦 Bank & cash accounts
Historical transactions and balances, then an agreed live-feed cut-over.
Statement and ledger balances checked line by line.
Manual journals
Converted into supported Xero entries with correct dates and narratives.
Journal totals compared against the trial balance.
¤ Multicurrency & intercompany
Transaction currency and exchange-rate treatment preserved; intercompany reviewed separately.
Foreign-currency balances checked per entity.
Budgets & FP&A data
Migrated as agreed opening or reference figures rather than a live model.
Budget totals reconciled to the general ledger.
Dashboards, workflow & attachments
Matched to a Xero-side or connected-app equivalent; attachments migrated where possible.
Equivalence documented, not assumed.

Where These Migrations Usually Get Complicated

Multi-entity consolidation

Each entity becomes its own Xero organisation; intercompany balances and any ongoing consolidated reporting requirement are reviewed separately, not assumed away.

Budget and FP&A to data

Rolling forecasts and scenario models don’t have a native Xero equivalent. Closing positions migrate as reference data; ongoing modelling usually moves to a connected app.

Dashboard & Access Analytics replacement

Each live dashboard is assessed against what it’s actually used for — board reporting, operational monitoring, or something rarely opened — before deciding its Xero-side replacement.

Workflow approval redesign

Configured approval chains are rebuilt against Xero’s role model or a connected app, sized to the entity’s new, usually smaller, structure.

How We Protect Your Numbers During the Migration

A matching trial balance is the baseline. It isn’t the only thing we check before calling a migration done.

Written scope, entity and dimension-mapping treatment agreed in advance

Approved chart of accounts and tracking-category mapping register

Controlled trial migration for multi-entity or budget-heavy setups

Comparative trial-balance checks at the agreed conversion date

AR and AP reconciliation, including any intercompany balances

Cost centre and entity totals reconciled to the general ledger

Exception log for dashboards, workflows and unsupported customisations

Finance-team review and sign-off before go-live

Common problems we prevent

Access Financials migrations tend to go wrong when analysis dimensions are mapped inconsistently across transactions, budget figures are left unreconciled to the general ledger, intercompany eliminations are handled differently across the newly separated entities, or a board-level dashboard is dropped without anyone agreeing a replacement.

Reconciliation happens twice in practice: once on a trial migration using representative data, and once on final cut-over using your actual closing figures. The trial run exists to surface mapping problems while there’s still time to fix them.

Important: the final control pack depends on the agreed scope and the reports available from Access Financials. Any unresolved source-data issue is documented rather than silently forced into Xero.

Access Financials to Xero Migration FAQs

Yes. Access Financials' chart of accounts, entities, cost centres, contacts, transactions and balances can be extracted, mapped and migrated into Xero once a target design and conversion date are agreed.
Common triggers include a subsidiary being separated from a group's Access Financials tenant, adopting more platform than needed, a licensing review, or a group standardising several entities onto Xero.
Xero supports two active tracking categories per organisation, while Access Financials allows several analysis dimensions per transaction. We help decide which two matter most, and agree where the rest go.
Each entity is assessed individually and normally mapped to its own Xero organisation, since Xero doesn't offer native real-time consolidation. Intercompany balances are reviewed during discovery.
Budget and forecast data is typically migrated as agreed opening or reference figures rather than a live model. Ongoing budgeting usually moves to Xero's native tools or a connected FP&A app.
Dashboards don't transfer directly. Each is reviewed to decide whether it becomes a Xero report, a connected BI tool, or stays accessible in an archived copy of Access Financials.
Configured approval chains don't carry over directly. Each is reviewed to decide whether it maps to Xero user roles or a connected bills-approval app.
Payroll typically runs through Access Payroll or another separate system. Payroll migration or Xero payroll setup is scoped as its own workstream.
Validation includes comparative trial balances, AR/AP control totals, cost centre and entity totals reconciled to the general ledger, bank and cash balances, and an exception log.
Depends on entity count, dimensions in active use, transaction volume, and budget or dashboard complexity. Most projects run from a few working weeks to a few months.
Every quote is scoped and fixed after discovery, based on entity count, dimension complexity, budget and dashboard depth, and required historical data.
A discovery call plus read-only or reporting access to Access Financials, sample exports, details of entities and dimensions in use, transaction volumes, the required historical period and go-live date.
Yes. Training is tailored to teams moving from an enterprise-grade FP&A platform to Xero and covers everyday processing, bank reconciliation, payables, receivables, reporting and the new tracking-category structure.
